Emailing everyone going to an event

Send an email to the families going to an event from its page, and use the event's own group address.

Every event with RSVPs can be emailed as a group. It reaches the adults in each family that has at least one person marked "Yes" — at their main email and any backup emails they have confirmed. Families who said no, or haven't answered, are not included.

Sending from the event page (leaders)

  1. Open the event and choose Send Email.
  2. The box shows how many addresses will get it.
  3. Add a subject and a message, then Send.

Recipients see the message from the event's group address, with a line at the bottom saying who sent it. Their addresses are hidden from each other. If they reply, the reply goes to the whole group.

Each event has its own address, shown on the event page under Email everyone going:

event-EVENTID@your-troop-address

Use the Copy address button to grab it. Write to it from your normal email app and it reaches everyone going — handy for a carpool or "who's bringing the stove?" thread.

Who can write to it:

  • Troop leaders, and
  • Members of a family that is going.

Mail from any other address is quietly ignored, and so is mail that can't be verified as really coming from the address it claims. Send from the address on your troop account (or a confirmed backup email).

The address stops working a week after the event ends. To reach people who are not going — for example families who haven't answered — use a mailing list.

Limits

Event emails count toward your troop's daily and monthly email limits, like every other email. An event address accepts up to 10 messages an hour from families (leaders are not limited).

When someone replies to an event email that a family member sent, the reply goes to everyone going, so it stays one group conversation.
