Email digest — schedule and look-ahead
How to configure the recurring "what's coming up" email to your families.
A digest is an automatic, scheduled email that summarizes upcoming events. One digest per troop, fully configurable.
Setting up
In Admin > Communication > Email Digests:
- Check Enable digest.
- Choose a cadence:
- Weekly — pick a day of the week (Sunday–Saturday).
- Monthly — pick a day of the month (1–28; capped at 28 so every month has that day).
- Pick a time (24-hour) — this is in your troop's timezone, so just enter the local time you want the digest to go out. MyTroop handles the UTC conversion and keeps the send time stable across daylight-saving changes.
- Set Look ahead (weeks) — how many weeks of events each digest should list. Common choices:
1— just this week (classic "weekly" behavior).6— the next six weeks, great for planning.52— a full-year calendar snapshot.
- Click Save Digest Settings.
Digests are dispatched within the configured hour — minutes are ignored at send time, so
08:15behaves the same as08:00.
Previewing
Once enabled, the Preview button opens a modal showing exactly what would go out today, populated with your real upcoming events in your configured window. Use this to sanity-check content before saving.
Event dates and times in both the preview and the sent digest are shown in your troop's timezone (not the reader's device timezone), and each time range is tagged with its zone — e.g. 7:00 PM–9:00 PM CDT — so a family reading on the road can't misread it. The preview dialog notes which timezone it's using, which is why the times may differ from the clock on your own device if you're travelling.
What's in a digest
- All events visible to the recipient within the look-ahead window, ordered by start time.
- Recurring events expanded to actual dates.
- A direct link to RSVP for each event (when RSVP is enabled).
Who gets digests
Every active member of the troop, unless they've opted out in their profile. Kids never receive emails — only parents/guardians.
Turning it off
Uncheck Enable digest and Save Digest Settings. The change takes effect immediately — no in-flight digest will be sent after you save.
